Booking Policy

1. Booking Process

All bookings for training sessions and programs must be made online through our official website. After completing the booking process, you will receive a confirmation email.

 

2. Age Groups

Ensure that the age entered during registration is accurate, so your child is placed in the correct training group.

 

3. Payment Process

All payments for training sessions must be completed online at the time of booking.

​

  • Payment Required: We operate on a No Pay, No Train & Play policy. Full payment or active recurring payments must be made at the time of booking to ensure your child can participate in the session.

  • Accepted Payment Methods: Payments are securely processed via credit card or other online payment methods available through Perth Elite Football Academy's website.

  • Training Fees: Training session fees are clearly displayed when paying for a program. These may vary depending on the program, competition or number of sessions booked.

  • Refunds and Cancellations: Payments are non-refundable once processed. In the case of a session cancellation by the academy (due to weather or unforeseen circumstances), we will offer a make-up session.

  • Deposit: Any pre-season deposit for the competition season is non-refundable. This is because resources are allocated, and teams are formed and submitted to competition organisers based on the number of committed players at the time of deposit. 

 

4. No Pay, No Train & Play Policy

To ensure fairness and avoid scheduling complications, we have implemented a No Pay, No Train & Play policy:

  • Full Payment: Your child will not be allowed to participate in any training session unless payment is received in full at the time of booking.

  • Late Payment: If payment is not completed within 24 hours of booking, player's spot may be released, and your child will not be able to attend the session.

 

5. Absences

We understand that unexpected situations may arise, and we ask that you review the following policy regarding absences:

  • No Show: If your child misses a session without prior notice, the session fee will not be refunded, and the session will be considered forfeited.

  • Group Sessions: Group training sessions are scheduled on a fixed basis and cannot be rescheduled. As such, no make-up sessions or credits will be provided for missed group sessions. Please plan accordingly to ensure your child can attend their scheduled sessions.

  • 1-on-1 Coaching Sessions: For 1-on-1 coaching sessions, refunds may be offered at the academy’s discretion, depending on the circumstances. We recommend contacting us as soon as possible if your child is unable to attend a scheduled 1-on-1 session, so we can discuss potential options.

 

6. Code of Conduct

At Perth Elite Football Academy, we hold both players and parents to high standards of respect, sportsmanship, and behaviour. Our goal is to foster a positive, supportive environment for all involved.

For Players:

  • Respectful Behavior: Players must always treat coaches, teammates, opponents, and other participants with respect.

  • Safety: Players are expected to follow all safety guidelines to ensure a secure environment for everyone.

  • Hydration: Maintaining proper hydration is essential; players must stay hydrated throughout training and matches.

  • Footwear and Attire: Appropriate footwear and attire are required during training and matches to minimize injury risk and ensure comfort.

  • Jewelry and Piercings: To avoid injury, players must not wear body piercings or jewelry during training or matches.

  • Warm-up and Cool-down: Players must engage in warm-up exercises before each session or match. Afterward, cool-down exercises are the player's responsibility to help prevent injuries.

  • Injury Reporting: Any injury, regardless of severity, must be reported to the coach or medical staff immediately. Players should not continue playing if injured.

  • Use of Equipment: Players must ensure that all training equipment is in good condition. Faulty equipment should be reported and removed from use.

  • Personal Protective Gear: Shin guards are mandatory for all training sessions and matches. Goalkeepers may wear additional padding for extra protection, and players are encouraged to wear knee pads during futsal matches.

  • Commitment: Players are expected to arrive on time, come prepared, and give their best effort in every training session and match.

For Parents:

  • Respect Coaching Decisions: Parents are encouraged to support and motivate their children, but must refrain from interfering with or influencing coaching decisions. All coaching decisions are made by the academy’s qualified staff with the player’s development in mind.

  • Respectful Support: On game days, parents should offer positive and supportive encouragement. Any behavior that undermines coaches, players, or the academy’s values—including arguing with referees or attempting to influence decisions—is not acceptable.

  • Parent Misconduct: Parents who attempt to interfere with coaching decisions or display inappropriate behavior towards other parents, players, or staff will be asked to leave the academy, forfeiting their child's place. This policy is in place to ensure a respectful and supportive environment for all players and coaches.

Overall Expectations:

  • Respect for All: Both players and parents must promote a positive and respectful atmosphere during all academy events. Any behavior that disrupts or harms the academy’s culture will not be tolerated.

  • Supportive Environment: We ask that all parents and players act in a manner that supports teamwork, player development, and the core values of Perth Elite Football Academy.

By maintaining these standards, we ensure a professional and nurturing environment where players can thrive and reach their full potential.

 

7. Health & Medical Consideration

By completing the booking process, you confirm that your child is in good health and capable of participating in physical training. If your child has any medical conditions, allergies, or other health concerns, please ensure this information is included during registration so we can make any necessary accommodations.

 

8. Changes to Program or Schedule

While we strive to maintain consistency in our training and game schedule, Perth Elite Football Academy reserves the right to adjust or cancel training sessions due to unforeseen circumstances (e.g., weather, holidays, or low attendance). If any changes occur, you will be notified as soon as possible.

 

9. Privacy & Data Protection

At Perth Elite Football Academy, we are committed to protecting the privacy and confidentiality of the personal information you provide. We adhere to the principles outlined in the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), ensuring your personal data is handled with the highest level of care.

Collection of Personal Information:

  • We collect personal information such as your name, contact details, medical information, and any other relevant data to ensure the safe and effective delivery of our programs.

  • Personal information is only collected when necessary for the purposes of running the academy and supporting your child’s development.

Use and Disclosure of Personal Information:

  • Your personal information will only be used for the purpose it was collected, which includes program registration, communication regarding academy updates, and ensuring the safety and well-being of your child.

  • We may also use personal information for marketing purposes, such as promoting academy events or offering special deals. You may opt out of marketing communications at any time by contacting us.

  • Perth Elite Football Academy will never sell, rent, or trade personal information to third parties. However, we may disclose personal information when required by law, such as in response to a subpoena or regulatory inquiry.

Security of Personal Information:

  • We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure.

  • Your personal information is stored securely, and only authorised personnel have access to it.

Access and Correction:

  • You have the right to access the personal information we hold about you. If you would like to access or correct any information, please contact us, and we will respond within a reasonable timeframe.

  • If any personal information is inaccurate or out-of-date, we encourage you to inform us so we can update our records.

10. Media Consent

By completing the booking process and enrolling your child in a session at Perth Elite Football Academy, you grant permission for the academy to capture images and videos of your child during training sessions. These images and videos may be used for marketing, advertising, and promotional purposes, including but not limited to our website, social media, print materials, and advertising campaigns.

If you would prefer for your child not to be included in media content, please contact the academy at admin@perthelitefa.com.au or in-person. We respect your preferences and will ensure your child is not featured in any media content.

11. Liability

At Perth Elite Football Academy, we strive to provide the best possible environment for the development of our players. However, by participating in our programs, both parents and players acknowledge and agree to the following terms:

Liability for Injury:

  • Perth Elite Football Academy will take all reasonable precautions to ensure the safety of players during training sessions, matches, and other academy activities. However, by participating, players and their guardians understand and accept that there is an inherent risk of injury associated with playing sports, including soccer and futsal.

  • The academy will not be held liable for any injuries, accidents, or damages sustained during training or events.

Parent Responsibility:

  • Parents and guardians are responsible for ensuring their child’s physical readiness to participate in academy activities. This includes informing the academy of any medical conditions, injuries, or special requirements that may affect participation in training or games.

  • Perth Elite Football Academy does not accept liability for any failure to disclose such conditions, and parents should seek appropriate medical advice for their child prior to involvement in any activity.

Property Loss or Damage:

  • Perth Elite Football Academy is not responsible for any loss, damage, or theft of personal property, including equipment, clothing, or valuables brought by players to the academy.

  • We recommend that all personal items be labelled clearly and stored in a safe place.

Third-Party Services:

  • Perth Elite Football Academy may engage third-party services or providers (such as transport, venues, or equipment suppliers) in the course of providing its programs. While we take reasonable care when selecting third-party providers, the academy will not be held liable for any acts, omissions, or claims arising from third-party services.

Indemnification:

  • By enrolling in the academy, parents and guardians agree to indemnify and hold harmless Perth Elite Football Academy, its coaches, staff, and any affiliated parties from any claims, damages, or losses resulting from participation in academy activities.

12. Changes to this Policy

Perth Elite Football Academy may update this Privacy and Data Protection Policy as needed to comply with legal obligations and best practices. Any changes will be communicated on our website, and the updated policy will apply to all personal information we hold.

CANCELLATION POLICY

​

1. 20-Week Academy Program:
Cancellations for the 20-week Academy Program are subject to a cancellation fee, determined at the discretion of Perth Elite Football Academy. The fee will depend on the timing of the cancellation, the remaining duration of the program, and any administrative costs. The academy will work with families to ensure a fair and reasonable fee is applied, considering the circumstances.
Fees are charged for the 20-week program due to the commitment the academy has made to the competition, resource allocation, and the time required to find a suitable replacement if a player cancels. Once a player is enrolled, the academy secures necessary resources, including team placements, coaching staff, and competition entry, all of which are committed based on the number of registered players.

  • Early Cancellation (Before the program starts or within the first 1-2 weeks)
    A cancellation fee of 30% will apply. This covers administrative costs and the inability to fill the spot at short notice.

  • Mid-Program Cancellation (After 1-2 weeks but before halfway through the program)
    A cancellation fee of 50% will apply, considering the resources already committed and the difficulty in replacing the player at this stage.

  • Late Cancellation (After halfway through the program)
    No refund will be provided if the cancellation occurs after more than half of the program has passed. At this point, most costs have already been covered, and the spot is unlikely to be filled for the remainder of the term.

To initiate the cancellation process for the 20-week program, please email the academy at admin@perthelitefa.com.au , and we will work with you to achieve a fair and reasonable outcome.

2. 10-Week Train-Only Program:
The 10-week Train-Only Program includes a "Cancel Anytime" option, allowing customers to cancel their participation at any time via their online account.

  • Cancellation Policy: If the program is cancelled at any time, the cancellation is effective immediately, and no further payments will be charged.

  • Refunds: Refunds will be provided based on the number of sessions attended, with a pro-rated refund for any unused sessions (if applicable).

Note: Cancellations for the 10-week program must be made through the customer's online account. No cancellations will be processed via email or in person.
